Refund & Cancellation Policy
This policy forms part of the Terms of Service (§6).
The short version

1. The 14-day money-back guarantee
If KubeManta is not right for you, tell us within 14 calendar days of your first purchase and we will refund that payment in full.
- It applies to your first purchase — the first time you pay us for a given account. It is not a recurring right on every renewal, and buying additional seats later does not start a new 14-day period.
- The 14 days run from the date your first payment is taken. If your plan ever includes a free trial, the trial comes first and the 14 days begin when the trial ends and you are actually charged — never before. (There is currently no self-serve free trial: the Free tier is the evaluation path, and this guarantee is the protection on your first payment.)
- You do not need to give a reason.
- The refund is processed through Paddle, our Merchant of Record, back to your original payment method.
- A granted refund ends your paid entitlement at that point. Your license reverts to Free tier once the refund is issued — you do not keep Pro access for the remainder of the refunded period. Nothing is deleted (§4, §5).
Because Paddle is our Merchant of Record, it is the seller on your invoice and operates its own refund process. You are welcome to contact us first — it is usually faster — but you may also raise a refund with Paddle directly, and any right you have with Paddle is unaffected by this policy. Card disputes (chargebacks) are likewise handled by Paddle as the seller of record; if something looks wrong on your statement, emailing us or Paddle first is almost always faster than a dispute.
How to claim: email [email protected] from your account email address and say you want a refund under the 14-day guarantee. That is the whole process.
Timing: we will action it within 5 business days of receiving your request. Paddle's own processing and your bank's settlement then apply — typically 5–10 business days for the money to appear, depending on your payment method and bank.
2. Cancelling after 14 days
You can cancel at any time. There is no cancellation fee, no notice period, and no requirement to talk to anyone.
When you cancel:
- Billing stops. You are not charged again.
- Access continues for the rest of the billing period you have already paid for. If you cancel on day 3 of a monthly period, you keep Pro features until day 30.
- No pro-rata refund is given for the unused remainder of that period. You bought the period; you keep the period.
- At the end of the period, the Software falls back to Free tier (§4).

We will confirm your cancellation by email. If you do not receive confirmation within 2 business days, please chase us — do not assume it failed silently.
2a. Adding or removing admin seats
Pro is priced per paid admin seat (Terms §5.3). You can change how many paid admin seats you have at any time. Viewers are free and unlimited and are never counted.
- Adding seats takes effect immediately in the Software. You are not charged mid-cycle — the change appears on your next invoice.
- Removing seats takes effect in billing from your next period. We do not refund part of a period already paid for, for the same reason as §2: you bought the period.
- Changing seats does not restart the 14-day money-back guarantee (§1), and never affects your license — removing a seat cannot suspend your installation or sign anyone out.
3. Annual subscriptions
An annual subscription is a single payment for a 12-month period.
- The 14-day guarantee (§1) applies to your first annual payment in the same way.
- After 14 days, cancelling an annual plan stops the renewal. Access continues to the end of the 12 months you paid for. There is no pro-rata refund of the remaining months.
If you are considering annual, consider starting monthly. We would rather you were sure.
4. What happens to the software when your subscription ends
Nothing breaks. This matters enough to state precisely.
KubeManta is self-hosted — it runs in your cluster, not ours. When a paid subscription ends:
- The Software keeps running. It reverts to Free tier behavior.
- Paid features stop (AI copilot beyond the free daily allowance, approval-gated remediation, Helm write operations, Resource Builder apply, on-demand self-scanning, and the other Pro/Enterprise features listed in FEATURE_MATRIX.md).
- The Free core keeps working, indefinitely — workload visibility, overview, cluster map, network topology, log streaming, failure cascade, security posture read, the browser terminal, and the basic workload operations (restart/scale/delete) where you have enabled Kubernetes write permissions.
- Nobody is signed out or demoted. The Free tier includes one admin seat; going over it after a lapse only prevents promoting new admins — it never revokes an existing admin or interrupts an in-flight incident.
- Nothing is deleted. Not by us, and not by the Software. Your audit log, scan history, saved bundles, runbooks and settings remain in your cluster's database exactly as they were.
- Gated API endpoints return a clear "upgrade required" response; gated UI tabs show an upgrade note rather than vanishing.
We deliberately did not build a product that bricks itself when a payment lapses. Infrastructure tooling that holds your cluster hostage is unacceptable, and the Software's license enforcement is written to degrade gracefully — including tolerating our own license service being unreachable for a grace period. 5. Your data
We do not hold your cluster data, so there is nothing for us to return or delete when you leave.
- Cluster data — workloads, logs, metrics, configuration, audit trail — lives in your cluster, on your storage. It is unaffected by cancellation. To remove it, uninstall the Helm release and delete the persistent volume.
- Account data we do hold — your email, name, and licensing/billing records — is covered by the Privacy Policy, including retention periods (§7) and your right to request deletion (§10).
6. Refunds we do not give
To be straightforward about the boundaries:
- No pro-rata refunds for a partly-used period after the first 14 days (§2).
- No refunds for a period during which you simply did not use the Service.
- No refunds for admin seats you bought but did not assign. Seats are capacity, like any subscription; we do not meter whether you used them. Reduce your seat count instead — it takes effect from your next period (§2a).
- No refunds where a subscription was terminated for a material breach of the Terms of Service §7 (acceptable use) — for example license-enforcement circumvention.
- Free tier involves no payment, so there is nothing to refund.
7. Exceptional cases
If something has genuinely gone wrong — you were double-charged, charged after cancelling, or the Software was materially broken in a way we could not fix — email [email protected] and describe it. These are handled case by case and generously. We are a small company; we would rather refund you than argue with you.
8. Your statutory rights
Nothing in this policy removes or limits any refund, cancellation or withdrawal right you have by law that cannot be waived.
In particular, if you are a consumer in the EU or UK, you may have a statutory right of withdrawal for distance contracts. Where that right applies and gives you more than this policy, it prevails.
